Bid & Estimating Administrator

Location Durham

About the Role
As Bid & Estimating Administrator, you will support the bid and estimating teams to ensure competitive and successful tender submissions.

Key Responsibilities

Bid

  • Adding new enquiries to the internal database and tracking the progress of bids
  • Assisting with calculations, research, and data collection for bid proposals
  • Liaising with relevant departments and external stakeholders to obtain the required documentation and information
  • Communicating with clients and responding to queries or clarifications
  • Completion of pre-qualification questionnaires (PQQs)
  • Maintain and update online accreditations
  • Creating and maintaining bid libraries and templates
  • External portal management for tenders both uploading and downloading

Estimating

  • Tender log management
  • Attendance of tender meetings – navigating tender programme on screen, noting comments 
  • Creation of tender folders on SharePoint
  • Creation of contract folder on SharePoint
  • Allocation of contract number
  • Updating contract award documents
  • General administrative duties
  • Sending out of contract details to the wider Group
  • Subcontract enquiries – send outs/chasing/comparisons
  • Chasing up clients on prices that have been submitted for definitive answers on tenders and updating on to the tender programme in advance of the tender meetings.
  • Tender handover meeting minutes

The ideal candidate:

  • Excellent written and verbal communication skills
  • Attention to detail and accuracy
  • Organisational and time management skills
  • Proficiency in Microsoft Office software
  • Ability to work under pressure and meet deadlines
  • Teamwork and collaboration skills
  • Previous experience in a similar role is highly advantageous
